Secure Meeting

Our VPN portal has the capability to host web meetings securely for IIa employees that will allow them to meet virtually from anywhere they have an internet connection.
To begin the process, login to the VPN as documented at http://faq.iiaweb.com/vpn.

1. SETUP


After logging in to the VPN client, click on the preferences button on the top right of your browser window.



You will then see a preferences page where you can change user options. Next, click on the General tab.


After clicking on the General tab, you will need to enter your email address, as well as any persistent teleconference info, such as the information for your personal teleconference number so that it will automatically be attached to your meeting invitations.
After that has been entered, click the Save Changes button.



2. Meeting Creation from the Web

From here, click on the Meeting button at the top of the page.


You will be given the option of creating secure meetings from outlook if you are logged on to the Users realm using an IIa laptop or desktop.
If you click on the here link on that page, it will download the Secure Meeting for Outlook plugin, adding a quick way to schedule meetings from within your client.
You can create an Instant Meeting that will email you with information you can forward to another party that will allow them access to a meeting that begins immediately.
You can also create a scheduled meeting that will happen at a later time by clicking on New Meeting.

Fill out the following to begin schedule your secure meeting.
  1. Name - Name of the meeting
  2. Teleconference Info - The phone number that all attendees should call for voice conferencing.
  3. Agenda - Description of the meeting.
  4. Meeting Password - A password is recommended but not required. A password will be created automatically but can be changed easily to something memorable.
  5. Date and Time - The date and time of the meeting in Eastern Time, along with the duration of the meeting and whether it is a standing, recurring meeting.
  6. Invitees - Invite people from this web portal. This will send an email that will have all information minus the password in it. If it is another Secure Meeting user, please put their username in the Add Secure Gateway Users area in the Username field and click Add, if they are a user who does not typically have access to the Secure Meeting area, please enter their email address into the User Email field and click Add. 
When all fields are populated, Press finish and the invitations will be sent and the meeting will show up on your Secure Meeting Calendar.
